Scope
This policy applies to all employees, contractors, interns, and management personnel across all departments and locations.
Policy Statement
We believe that effective feedback is:
- Timely – Given as close to the observed behavior or event as possible.
- Constructive – Focused on improvement, not personal criticism.
- Specific & Actionable – Clearly identifies the issue and provides guidance on how to improve.
- Respectful – Delivered with professionalism, empathy, and without bias.
Types of Feedback
- Positive Feedback
Recognizes good performance and reinforces desired behavior. - Constructive Feedback
Identifies areas for improvement with suggestions for how to address them.
Feedback Process
🔹 Giving Feedback
- Be specific and focus on behavior or outcomes, not personality.
- Suggest clear next steps for improvement.
- Use private settings for sensitive feedback.
🔹 Receiving Feedback
- Listen actively and avoid becoming defensive.
- Ask clarifying questions if needed.
- Reflect on the feedback and take ownership of action steps.
🔹 Follow-Up
- Managers and team leads should check in on agreed actions.
- Employees are encouraged to document feedback and progress.
Confidentiality & Respect
All feedback must be shared respectfully. Confidential matters should only be discussed with relevant parties. Any feedback perceived as harassment or discrimination will be addressed under the company’s Code of Conduct.
Responsibility
- Employees are responsible for receiving and applying feedback professionally.
- Managers are responsible for modeling effective feedback behavior and providing regular check-ins.
- HR will support training, conflict resolution, and policy enforcement.
Policy Review
This policy will be reviewed annually and updated as needed to reflect evolving best practices in communication and performance management.
